The heart of the business is a fleet of around 5,900 special-purpose sales vehicles with refrigerated and freezer bodies that bring frozen products directly to customers' doors. Keeping this fleet on the road is business-critical, which makes fleet management a demanding, high-volume operational function.
Use-case definition
The focus is Accounts Payable invoice processing for fleet management: handling workshop, tire, and fuel invoices that arrive in varying formats and levels of detail. GeneralMind reads and structures them, allocates every position to the correct booking account, and runs automated plausibility checks that previously required deep expert knowledge.
The challenge
The fleet management department is responsible for maintaining and operating the vehicle fleet. A core part of this work is invoice verification: workshop invoices, tire invoices, and fuel invoices were captured and checked manually and then allocated to the individual booking accounts. This required very deep domain expertise, since the correct account depends on what was repaired on a vehicle and how.
